DigitalMeetings

Parlaeus contains a ‘state-of-the-art’ solution for digital meetings, along with practical functions that cannot be found in any other solution. With Parlaeus, it is very simple to organise complex meetings with many different participants per agenda item. The overview of meeting documents is unique as well. A meeting set with dozens of documents remains clear and easy to search in because all documents are collected in one meeting bundle. With that, notes stay in place, even if documents are replaced by newer versions several times or if the sequence of the meeting is changed. Sharing notes can be done on different levels: individually, for political groups, for the Council, etc.

Overview

The tool DigitalMeetings within Parlaeus consists of two parts. Firstly, Parlaeus contains a meeting dashboard where clerks and secretaries can plan and prepare meetings. Besides that, all participants will have their own document box where they receive agenda’s and important documents. This only document box can be opened via an App on your tablet, via your smartphone or via the browser on your laptop or your pc.

Connection with DossierCreation

The connection between the DigitalMeetings tool and the DossierCreation tool is what makes Parlaeus so special. This integration enables connecting separate documents or entire dossiers to different agenda topics during the DossierCreation phase. However, this integration also has other advantages, such as the possibility for different meeting participants to share their notes before or during the meeting with the secretary or the registry. Afterwards, this can easily be added or adjusted in the concerning document (either by the secretary, the registry or by the owner of the dossier).

Parlaeus offers complete support in the stratification of political decision-making processes. We divide three strictly separated sections, within which different consultations are supported:

Sharing annotations

Among other things, the highlight of the digital meeting system is the possibility to make and share annotations. Newer document versions will automatically be updated with annotations belonging to earlier versions of those documents. Even within the meeting environment, the extended rights and role functionality is completely in balance with the administrative and political process. Because of that, members of political groups and coalition members can easily consult (via the meeting-app) and can easily share annotations (within the political group or coalition). This massively improves the information position of a political group.
